Job Title: Operations Manager FLSA Status: Non-Exempt, Full time 40 hours per week Salary/Pay rate: $22.00 per hour Reports To: Chief Programs Officer Location: Moreno Valley, Administration Benefits: Health, Dental, Vision, Life Insurance, 403b retirement, EAP, Sick, Vacation, Holiday Pay ABOUT FSA Family Service Association has been a leader among non-profits serving families in need since 1953. Our mission is “Building community one family at a time, through compassion, advocacy and comprehensive model services, fostering self-sufficiency and sustainable impacts.” Position Overview The Operations Manager is a confidential position providing high-level administrative and program support to the Chief Program Officer (CPO). Responsibilities include preparation and support of Board and various committee meetings; assist with accreditation compliance strategies; conducting of CQI site visits; supervising of office assistant staff and/or volunteers; preparing and organizing program reports, as assigned. The Operations Manager will also perform functions such as preparing correspondence and scheduling meetings. General Responsibilities • Supervise and provide training to Office Support Staff and/or volunteers as assigned. • Ensure office coverage during operating hours. • Provide confidential administrative support to the CPO with basic office tasks such as filing confidential material, scheduling appointments, etc. • Develop systems to track and share administrative information with program sites. • Refine internal reporting systems to provide information on key program indicators. Produce monthly reports for all program managers/directors/administrators. • Work with facilities, HR and fiscal to address program needs as assigned by CPO. • Work in collaboration with program staff to develop and improve policies and procedures under direction of CPO. • Assist the CPO with set up and preparation of agency board, committee meetings and task force meetings including drafting and posting of agendas, minute taking, meeting refreshments, attendance tracking, preparing handouts and other support tasks related to committee meetings. • Participate in Agency Action CQI Committees. Assist Action Team Leads with Agendas, Minutes, Forms, Documentation, etc. • Perform Site visits to selected programs and sites utilizing structured site visit forms in anticipation of Accreditation site visit. • Responsible for the tracking of department staff development and annual training plans including reminders to be sent out each May for the submission of each department’s annual training calendar for the following fiscal year. • Responsible for administration and oversight of the Electronic Medical Record that will assist the clinic department in training current and future staff to operate software efficiently. In addition, oversees the continual software maintenance and any other duties related to the EMR. • Responsible for collecting data from the various programs within FSA, including agency demographics/outcomes and preparing the data to be available for the required reports.
 
Qualifications Experience with coordination of Board of Directors Experience in Continuous Quality Improvement preferred Must be detailed oriented, organized Able to work independently, learn quickly and to accomplish multiple assignments simultaneously. Good communication skills, oral and written Advanced proficiency in Microsoft Word, Excel and PowerPoint Good customer service skills Ability to read and write English and to communicate at the level required for successful job performance. Licenses & Certifications: Master’s Degree (Preferred) Bachelor’s Degree + Experience (Considered) CA Driver’s License Proof of automobile insurance Current and Clear DMV record Physical & Mental Demands: Long periods of computer/keyboard work Long periods of intense concentrated attention on details Ability to lift/carry at least 30 pounds Ability to perform tasks that require bending/stooping Ability to handle multiple tasks simultaneously Ability to work with and meet multiple deadlines Ability to cope with a fast changing work environment
