Accounting Assistant

Anthesis (formerly PVW) - Montclair

 

Summary: Under the supervision of the Accounting Manager, the Accounting Assistant will be responsible for the various accounting subsystems such as Accounts Payable, Accounts Receivable, Payroll and numerous other tasks that aid the Accounting Manager. Duties and responsibilities may include but are not limited to: billing (service fees, private sector contract, cash receipts), cash handling, payroll assistance including accurately logging, tracking and filing staff time cards and issuing staff paychecks, assisting Director of Administration with monthly report preparation including financial statements; preparing, analyzing and interpreting bank reconciliation statements and analyzing/interpreting various other statistical and numerical reports, and performing various other accounting related functions. Other clerical/administrative duties may be assigned as needed. Current work schedule is Monday through Friday during the hours of 7:30am-4pm. Essential Duties and Responsibilities include the following. Other duties may be assigned. 1. Is responsible to ensure all job duties are performed in-line with and in support of the mission of Anthesis. 2. Billing function—develop invoicing for: a) Programmatic fees for service. b) Private sector contract income. c) Apply cash receipts. 3. Cash Receipts function—Assemble cash receipts package and prepare bank deposit. 4. Accounts Payable function. a Set-up of Accounts Payable. b) Disbursement of payables. 5. Prepare and disburse staff payroll. 6. Prepare and disburse consumer payroll. 7. Develop monthly vacation accrual. 8. Prepare monthly Worker’s Compensation premium billing. 9. Maintain cash flow work papers to aid the Accounting Manager in various Treasury functions. 10. Prepare reconciliation to aid the Accounting Manager in keeping an accurate set of accounting records: a) Bank reconciliation. b) Reconciliation of Accounts Receivable General Ledger control account to subsidiary records. c) Reconciliation of Accounts Payable General Ledger control account to subsidiary records. d) Such other reconciliation as needed. 11. Prepare bridging analysis between payroll tax liability per books and quarterly earning records to aid Accounting Manager in preparing quarterly payroll Tax returns. 12. Perform petty cash counts, reconciliation and reimbursement. 13. Prepare manual checks. 14. Help Accounting Manager by running and assembling financial statements. 15. Perform various statistical typing projects including but not limited to maintenance of standard forms/work paper file. 16. Such other numerous tasks not a part of sub-systems and too small to enumerate here. Physical and other requirements include: While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle or feel; reach with hands and arms; climb or balance; talk or hear; and taste or smell. The employee frequently is required to stoop, kneel, and crouch. The employee must regularly lift and/or move and/or push/pull up to 25 pounds and must occasionally lift and/or move and/or push/pull up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The noise level in the work environment is usually moderate requiring ability to focus and concentrate on tasks at said noise level.
 
Qualifications/Education/Experience: The following requirements listed are representative of the knowledge, skill, and/or ability required: Bachelor’s degree (B.A/B.S.) from a four-year college or university or one to two years’ experience and/or training in Accounting or related field. Equivalent combination of education and/or experience will be considered for this position. Language Skills Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent, and to draw and interpret bar graphs. Reasoning Ability Ability to apply commonsense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Computer Knowledge Must have a working knowledge of a PC computer and applications such as Microsoft Office including Word and Excel. It would be advantageous to have worked with one of the several accounting packages, such as Peachtree. Other Skills and Abilities Ability to use 10-key calculator and type 35 words per minute.
