Our mission is “Building community one family at a time, through compassion, advocacy and comprehensive model services, fostering self-sufficiency and sustainable impacts.” Position Overview Under general supervision the Office Manager -Enrollment/Eligibility will determine family eligibility and assist parents who seek to access child care programs and services funded by the California Department of Education for General Childcare and State Preschool. All duties and responsibilities are performed in accordance with Title 5 of the Education Code, agency policies, and department standards. General Responsibilities 1. Determine eligibility, process enrollment and complete initial certification of families qualified for subsidized childcare within designated timeframes, as required. 2. Accurately enter family data into Center Track system. 3. Schedule and conduct timely initial interviews to facilitate parents’ enrollment or continuation in the program. 4. Authorize family for childcare services per agency policies and timelines. 5. Maintain regular follow-up of all open items. 6. Coordinate and resolve all routine and non-routine problems by interfacing with internal resources. 7. Perform data entry functions for initial enrollment changes and updates. 8. Collect and enter child attendance weekly, verifying with approved schedule. 9. Complete all month end data entry, reviews, and reconciliations, reviewing for accuracy prior to submission to administration. 10. Maintain and update list of all enrolled children 11. Maintain and update waiting lists. 12. Promote full enrollment, and participate in recruitment of children as directed. 13. Timely and Regular Attendance. 14. Other duties as assigned.
 
Minimum Qualifications • High School Diploma – Associate Degree preferred: Years of related work experience can be substituted for the AA Degree • Minimum 2 years of experience working in an office environment with customer contact – preferred experience working with families receiving subsidized childcare or other social support services. • Must have excellent communication skills • Must be able to speak, read, and write in both English and in Spanish. • Must be able to type 35 words per minute • Must have experience working in web based data systems • Must possess ability to work with diverse individuals, groups, and management levels • Requires analytical and problem solving abilities • Requires considerable accuracy and ability to produce in a timely manner • Must be flexible and able to multi-task while working in a collaborative, team environment with a positive attitude • Requires the exercise of independent judgement and discretion in analyzing facts and circumstances and in the determination of actions to be taken within the limits of standard practice. Involves application of broad knowledge of contract funding terms and policies and procedures • Must have ability to quickly learn State and Federal contract requirements for childcare subsidy programs. Must be able to speak, read, and write fluently in English and Spanish. • Work under limited supervision and guidance and be able to plan and arrange own workflow following established procedures and guidelines • Must have excellent computer skills including experience working with Excel creating spreadsheets • Must be able to pass background fingerprint check including child abuse index. • Pass a health screenings, Immunized against: Influenza, Pertussis and Measles, TB test, Drug screening/Physicians statement of health clearance. Licenses & Certifications: Current valid California Drivers License Current valid auto insurance Current CPR/First Aid card with EMS stamp Physical & Mental Demands: Ability to bend over and down Ability to stoop, crouch, kneel and grasp Have full range of motion and ability to lift 40 lbs. Ability to stand continuously for 4 hours per day as needed Ability to function in an active office environment Excellent interpersonal skills
