Business Operations Manager (Clinic) Salary: $48,000 - $60,000 (exempt) Essential Job Duties: 1.Designs, implements and maintains systems to insure the smooth operations of the front and back office business functions of the Clinical Services Department under supervision of the Clinic Administrator and in accordance with all applicable agency policies and procedures, COA guidelines and applicable laws and regulations. Maintain and insure smooth and professional operations of all clinical service site locations. 2. Assist Clinic Director(s) with contracts management duties (programming, fiscal, reporting, etc.). 3. Designs, updates and monitors systems to track scope of work required targets in all Clinic Contracts meeting regularly with Clinic Directors and Clinic Administrator to review target attainment and insure tracking mechanisms are consistently monitored and reviewed. 4. Reviews new contracts for Clinic Department with Clinic Directors and Administrator to insure all required targets and scope of work requirements are implemented and tracking mechanisms are in place for each required element. 5. Insures that all requirements for the secure maintenance, transport (whenever and wherever necessary), logging out/in, production of (for audit/monitoring, subpoena, records requests, other) and long-term archiving systems are in place and maintained at all clinical site services locations and that all Operations Support Staff team members are fully trained and cognizant of their HIPAA chart security duties. 6. Maintain a calendar for contract reports due dates, fiscal reporting and data entry. Work collaboratively with Clinic Directors Managers to ensure deadlines are met. 7. Prepares and deliver statistical reports for Clinic Programs to the designated Administrative Staff for Agency statistics and presents on department statistics at staff meetings to keep staff informed on key department overall statistics and outcomes --such as # of total clients seen year to date, # of total hours of counseling provided year to date, etc. (i.e. UW Funding, Direct Service Hours, Units of Service, etc.). 8. Collection of Outcomes data from Clinic Client Charts (Standardized Measures collected) and EHR/ETO systems and compilation into reporting and tabulations for reporting out of overall program and departmental outcomes for funding source requirements, agency impacts reports and other departmental impacts needs. 9. Assist with agency website updates (Clinic Programs) in collaboration with IT staff. 10. Coordinates opportunities for outreach event participation for Clinic staff to promote Clinic programs and services 11. Works collaboratively with Clinic Directors and Agency PR, IT and Administrative staff to strategically purchase advertising for Clinical Programs and services to market the clinic locations and services and promote all services but most especially private pay and third-party payers 12. Supervises the billing processes of all clinic contracts, client insurances, EAP providers and third-party payors and insures all billing deadlines are met. Liaisons with FSA’s fiscal department to insure all billing documentation is submitted in a timely manner for FSA financials. Insures that all billings, statistical reporting, direct service hour reporting (weekly and monthly) units/targets reporting, and other required department reporting is completed and submitted by the support/operations team of the department in a timely and complete manner. 13. Develops and provides for adequate training of the Operations/support staff for the Clinical Services Department and maintains Manuals, PowerPoint Slide Decks, training curriculums and evidence of staff training provided. 14. Staff Supervision, team building, training and administrative support for assigned operations support staff. Supervises the support staff team and insures support staff coverage of all Clinical Service Site Locations. 15. Provides for the appropriate and sufficient professional training opportunities for the support staff of the Clinical Services Department. 16. Facilitating team processes conducive to support agency culture. 17. Punctual and Regular Attendance 18. Other duties as assigned and necessary. Report to: Clinic Administrator
 
Minimum Qualifications:  Computer skills (Word, Excel, Access)  Database systems experience  Experience and training in Logic models and Outcomes  Minimum of 3-year management/supervisory experience  Background Clearance  TB Clearance  Drug Test Clearance  Ability to read and write English and to communicate at the level required for successful job performance.
